Privacy Policy

Embers is operated by NSIMS LLC ("Embers", "we", "us"), a Delaware limited liability company. This policy explains what we collect, how we use it, and the choices and rights you have. Questions: privacy@embers.group.

The short version: Embers exists to help you keep your own relationships warm. Your data is yours. We do not sell it, and we keep only what the product needs to work.

Information we collect

• Account information. Your email address and name, and authentication details handled by our sign-in provider (email and password, or Google sign-in). We never see your Google password.
• The contacts and notes you add. The people you choose to track and what you record about them: names, roles, contact details, notes, events, and the preferences you set. This is your data; you decide what goes in and you can remove it.
• Content you submit for processing. When you paste text or drop in a file for Embers to read, we process it to pull out structured details (a contact, an event, a note). The raw input is processed in memory and then discarded. We keep only the structured result you choose to save.
• Messages and touches. Drafts Embers prepares for your approval, and the touches you approve and send.
• Usage and diagnostic data. Basic product analytics and error logs that help us keep the service working and improve it.

How we use your information

• To provide the service: surfacing the people worth reaching out to, drafting messages in your voice, and sending the touches you approve.
• To operate and secure your account.
• To improve Embers and fix problems.
• To communicate with you about the service.

We do not use your information for advertising, and we do not build a profile of you to sell.

AI processing

Embers uses a third-party AI provider (Anthropic) to draft messages and to extract structured details from the content you submit. That content is sent to the provider only to perform those tasks for you. It is not used to train AI models.

We do not sell your data

We do not sell your personal information or your relationships, and we never have. We do not share your data for cross-context behavioral advertising. Under the CCPA, we do not "sell" or "share" personal information as those terms are defined.

Who we share data with

We share data only with the service providers that help us run Embers (hosting, database, email delivery, AI processing, analytics, error monitoring). Each processes data on our behalf under its own terms. The current list is on our Subprocessors page. We may also disclose information if required by law, or to protect rights and safety.

Data retention and deletion

When you delete a contact, it moves to Trash for 90 days so you can recover it, then it is permanently removed. You can permanently delete sooner at any time. If you close your account, we delete your account data. Backups and logs age out on a rolling basis.

Your rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to the processing of your personal information (for example, under the GDPR and the CCPA), and the right not to be discriminated against for exercising them. To make a request, email privacy@embers.group. We will respond within the time the applicable law requires.

International users

Embers is operated from the United States, and our service providers process data in the United States. If you use Embers from outside the US, you understand your information will be processed there.

Children

Embers is a tool for working professionals and is not directed to children. We do not knowingly collect information from anyone under 16.

Cookies and local storage

We use cookies and browser storage only for things the product needs: keeping you signed in, remembering your light or dark theme, carrying a referral code from an invite link, and basic product analytics. We do not use advertising cookies.

Changes to this policy

We will update this page when our practices change and revise the "last updated" date above. Significant changes will be communicated in the product.
